Best AI Operating System

Zoho One as an AI operating system: profile and verdict

The broadest suite in this guide, with AI included in the licence. A strong option on cost and breadth, as long as the company is willing to move into one vendor’s software.

Zoho calls Zoho One an operating system for business. It puts more than 45 of Zoho's applications under one licence, with more than 1,000 compatible integrations, and Zoho reports more than 75,000 companies using it worldwide1.

Best for: Cost-conscious companies that want one vendor’s suite of business apps, with AI included, and are willing to license every employee.

Not the right fit for: Companies that want to own the software and data outright, or that only need a handful of the apps.

What Zoho One offers

The suite covers the applications a company would otherwise rent separately, under one subscription1. Its AI is Zia, which Zoho describes as an assistant that can work in the background or answer requests directly, and Zia Agents, special-purpose agents for specific business processes. Zoho says Zia draws on information across its whole software range, that AI is included in the software rather than sold as a separate licence or usage fee, and that its own technology stack lets customers use AI without data going to models outside the Zoho environment2.

Licensing comes in two forms. The all-employee plan must be bought for every employee on the payroll; the flexible plan licenses any number of users3. The all-employee route gives the lowest per-head price, at the cost of paying for staff who rarely use the software.

Published evidence

Zoho publishes adoption figures (75,000+ companies and a largest single deployment above 46,000 users)1. We did not find a named case study of Zoho One used as an AI operating system for a company in our frame on the pages we read.

Strengths and limits

Strengths

  • Breadth: one licence covers more than 45 applications, with over 1,000 compatible integrations.
  • Zoho says AI is part of the software, not an extra licence or usage-based charge.
  • Zoho says AI runs inside its own stack, without sending data to AI models outside the Zoho environment.

Limits

  • The lowest per-head price requires licensing every employee on the payroll.
  • It is rented software: the system and the data live in Zoho’s environment.
  • The Zia pages we read describe agents in general terms, without detail on approvals or action logs.

Choose another option if: You want a system built around your own processes and owned by the company, or you already run on Microsoft 365 or Google Workspace and do not want to switch suites.

Pricing

Published per employee (all-employee plan, billed annually) or per user (flexible plan). The amount shown depends on region; we could not read a figure for our region on the day of access.

Questions to ask Zoho

  • Which Zia Agents are available for our processes today, and what can they do without a person's approval?
  • Where is each agent action recorded, and who can see it?
  • What does the all-employee licence cost for our headcount, and what changes if headcount grows?
  • How would we export our data and configuration if we left the suite?
